Operations Officer

Job Summary

  • The Document Controller & Operations Officer plays a critical role in supporting the operational and human resources functions of the organization. This position ensures effective control and flow of all operational and personnel documentation while providing high-level HR administrative support across recruitment, compliance, and employee relations. The ideal candidate is experienced, detail-oriented, and capable of managing multiple priorities in a fast-paced, international environment.

Key Responsibilities

1. Document Control & Compliance

  • Manage, organize, and maintain company records, contracts, project files, and compliance documents in accordance with WTS Energy standards.
  • Implement and maintain document control systems to ensure traceability, version control, and data security.
  • Coordinate document approvals and distribution between departments and international headquarters.
  • Ensure compliance with Nigerian labor regulations, client audit requirements, and internal operational procedures.
  • Prepare and provide documentation during client or internal audits.
  • Maintain up-to-date files for vendors, clients, and consultants, ensuring all contractual and compliance documents are valid.

2. Crewing Coordination

  • Coordinate the mobilization and demobilization of offshore and onshore personnel, ensuring all travel, visa, and work permit requirements are met.
  • Maintain an up-to-date crew matrix and rotation schedule.
  • Ensure crew qualifications, medicals, and certifications are current and aligned with client and project needs.
  • Communicate proactively with personnel regarding assignments, rotation changes, and compliance updates.
  • Prepare and maintain personnel deployment records and ensure all crew data is properly documented and archived.
  • Support crew payroll coordination and timesheet verification.
  • Liaise with logistics and operations teams to ensure smooth crew transitions.

3. Administrative Support

  • Support onboarding and offboarding processes for crew and staff.
  • Maintain employee and contractor records in accordance with Nigerian labor law and WTS Energy policy.
  • Assist in performance tracking, training coordination, and personnel evaluations.
  • Collaborate with finance and operations to ensure alignment of documentation for payroll, invoicing, and compliance.

Qualifications & Experience

  • Bachelor’s degree in business administration, Human Resources, or a related discipline.
  • 5–8 years of experience in document control, crewing coordination, or HR operations — preferably within the oil & gas, marine, or energy sector.
  • Strong knowledge of Nigerian labor law, visa/work permit procedures, and crew management practices.
  • Experience working with international clients or in a multinational environment.
  • Proficient in MS Office Suite and document management systems (e.g., SharePoint, SAP, or similar).
  • Excellent organizational and time-management skills with high attention to detail.
  • Strong communication and interpersonal skills.
