About the Role
The Health and Wellness Part-Time Receptionist supports the daily operations of the health office by managing front desk activities, responding to inquiries, and assisting students with health forms, insurance processes, and essential documentation. This role requires strong communication skills, the ability to handle sensitive information, and a calm, professional demeanor. The person in this position will frequently interact with students, parents, faculty, counselors, nurses, and wellness staff and must demonstrate exceptional customer service and organizational efficiency.
Responsibilities
- Respond to phone calls and schedule appointments for health and counseling team members.
- Coordinate with laboratories for pickups and supply requests.
- Monitor sign-in sheets and alert RN, NP, or wellness staff of urgent or high-priority cases.
- Assist students and parents with questions regarding health forms, insurance processes, and wellness programs.
- Enter student insurance and health information into the CARS database system.
- Guide students on correctly completing insurance forms.
- Review and maintain electronic medical records to ensure accuracy and confidentiality.
- Send health records via fax when requested by schools or employers.
- Follow up on incomplete health documents with students and parents.
- Provide copies of health records upon request.
- Prepare paperwork, materials, and supplies for wellness programs and special events.
- Collaborate with Campus Life and IT to support promotions or publicize health initiatives.
- Assist with distributing immunization policies and required forms to admitted students.
- Manage office supply orders for the department.
- Supervise CWS student workers and prepare timesheets for staff and student workers.
- Complete additional tasks as assigned by management.
Qualifications
- Minimum of one year of experience working with health insurance or clinical administrative services.
- Prior experience as a medical assistant or health office receptionist is preferred.
- High school diploma required; secretarial training is an added advantage.
- CPR and AED certification required.
- Experience with EMR systems, CARS database, Microsoft Office, and Google Mail.
- Strong written and verbal communication abilities.
- Friendly, calm, and professional demeanor suited for working with a diverse population.
- Ability to multitask, maintain confidentiality, and deliver excellent service.
