About the Role

The Executive Assistant will serve as the primary administrative, organizational, and communication support to the President, ensuring that the executive office operates with precision, clarity, and efficiency. This role extends far beyond basic scheduling and coordination; it requires a professional who is capable of managing complex priorities, anticipating needs before they arise, and maintaining absolute confidentiality in all matters. As the key point of contact for internal teams, external partners, and high-level stakeholders, the Executive Assistant will oversee the flow of information, prepare executive-level documentation, and support strategic decision-making processes.

Responsibilities

  • Manage the President’s complex and dynamic schedule, including meetings, travel planning, and coordination across time zones.
  • Draft, edit, and proofread executive-level documents such as reports, presentations, and email communication aligned with American business standards.
  • Serve as the main point of contact for internal and external stakeholders, representing the President professionally.
  • Organize executive meetings, prepare briefing materials, document action items, and ensure timely follow-up.
  • Handle sensitive and confidential information in accordance with strict privacy protocols.
  • Anticipate executive needs, resolve scheduling conflicts, and streamline workflows for maximum efficiency.
  • Support special projects including events, budget coordination, and cross-department collaboration.
  • Provide cultural insight related to American business etiquette to support smooth international operations.

Qualifications

  • Must be a foreign national (non-Chinese citizen) holding a passport from the United States or another country where American English is the primary native language.
  • Native-level fluency in American English, with expert knowledge of U.S. business communication and professional etiquette.
  • Minimum of 1 year of executive support experience, especially supporting C-suite leaders.
  • Strong proficiency in Microsoft Office Suite and collaboration tools such as Zoom and Slack.
  • Outstanding organizational, multitasking, and time-management abilities in fast-paced environments.
  • Eligible for company-sponsored Chinese work visa.
