Job Description

The Finance and Administrative Assistant will provide essential support to the organisation by managing day-to-day financial and administrative operations to ensure efficiency and compliance with organisational policies and donor requirements. This role involves maintaining accurate financial records, processing transactions, preparing reports, managing budgets, and supporting other administrative functions.

Summary of Key Functions:
• Record daily financial transactions in Sage Pastel, generate Cash Books, General Ledger reports, Bank Reconciliation Statements, and Trial Balances.
• Ensure complete and accurate acquittals for all advances, and verify that all payment requests are supported by adequate documentation in compliance with WLSA financial policies.
• Safeguard cash and assets in accordance with the WLSA Financial Management Policy.
• Guide program staff on financial and documentation requirements for payment and procurement requests, ensuring alignment with internal policies and donor compliance guidelines.
• Maintain an organized filing system for financial vouchers, HR records, procurement documents, supplier files, and other administrative materials.
• Support the procurement of goods and services (e.g., vehicle hire, accommodation, conferencing) while ensuring value for money and adherence to the approved procurement procedures.
• Maintain and regularly update procurement files and the supplier register, ensuring purchases are made only from approved vendors.
• Maintain the Fixed Asset Register, conduct periodic physical asset verifications, and report variances.
• Perform general administrative tasks, including reception duties, facilitating utility and office supply payments, and attending to visitors and stakeholders.
• Carry out any other related duties as assigned

Desired skills, knowledge and experience
• At least a Bachelor’s degree in Business Administration, Accounting, and/or Finance;
• At least one (1) years of relevant work experience. Experience in a similar post in a non-governmental organization will be considered an advantage.
• Knowledge and experience in administrative, financial accounting, and full range of office support work, with a high level of sustained performance.
• Proficiency in Excel and Pastel will be an added advantage.
• Strong interpersonal and verbal communication skills.
• Proven ability to work effectively in a team-oriented, multicultural environment and to function effectively as a member of various groups
