Job Title : Logistics & Administration Graduate Intern
Reporting to : Procurement & Administration Officer
Location : Masvingo
Main Purpose of the Job:
To support the Procurement, Logistics and Administration Officers with management of the admin and logistics systems, tools and processes at Provincial Level. Provision of
implementation support for the fleet and security processes.
Duties and Responsibilities
Key Responsibilities
Fleet: Assets and Equipment Follow Up
Assist the Admin and Procurement officer to obtain quotes for admin office supplies
and equipment and help with the bookings of venues and hotels for various functions.
Under supervision of Admin and Procurement Officer issue orders for new stationery
supplies for office as and when required following stipulated purchase procedures
In conjunction with Driver Admins and Security, check supplies delivered agree with
supplies ordered.
Ensure up to date and accurate inventory records of all incoming and outgoing
combined office supplies are maintained.
In consultation with Admin & Procurement Officer, issue orders for
repairs/maintenance for office equipment and email/internet service providers
Prepare schedules and process requests for internet facilities and data bundles with
internet service providers.
Assist management and gain hands-on experience in working with other departments.
Organize transport for Office who would like to travel to and from the bank and other
work-related movements.
Communication with customers, office staff and field personnel.
Prepare maintenance schedules to be done on the fleet
Work with IT on monitoring and tracking the organisation fleet
Filing of any other
Reporting
Monitor and share any areas of concern on week vehicle tracking reports of Office staff
Monthly follow up on fuel issues/stocks and reports to Logistics and Fleet Officer at
month end
Support the Supervision of the team
Ensure proper coordination of his/her work with the Admin and Procurement team,
Chief Drivers and the Drivers
Providing technical support to the Chief Drivers and Fleet and Logistics Assistant
Qualifications and Experience
Qualifications, Skills, and Experience:
Degree in Business Management, Purchasing and Supply and/ Higher Diploma in Purchasing & Supply, Logistics & Transport Management; CIPS, CILT in Procurement
and Supply
Exposure to Logistics, Procurement and Administration roles
A good understanding of fleet management and maintenance
Excellent planning and organization skills
Skills: Proficiency in MS Word, Excel, Outlook & PowerPoint is an added advantage.
