Temporary Facilities Coordinator

Job Description    

  • Coca-Cola Beverages South Africa (CCBSA) has an exciting opportunity in our Manufacturing Department. We are looking for talented individual with relevant skills and experience for a Temporary Facilities Coordinator role, which is based in Midrand, Bedfordview, Benrose, Pretoria East, and Rustenburg. 
  • The role will report to the CCBSA Facilities Manager within the Capital and Projects Team. The role doesn’t have any reports
  • The role requires hands on in managing facilities for our 3 biggest Non-Production Sites, where we have extensive staffing. (COF @ Midrand, Benrose and Bedfordview) and 2 smaller sites Rustenburg and Pretoria East (Pretoria East is let out so will be interacting with a tenant) so will involve traveling between these sites, therefore own transportation is required.
  • Interacts with outside service providers at a senior level to establish suitable partnerships to provide long term facilities support.
  • Interacts with our Procurement Team to arrange scoping and costing for works.
  • Interacts with stakeholders at our various facilities across the company from junior employees to GM level. Manage service provider performance.
  • Engage with tenants and partners where facilities are let out.
  • Interacts internally with Risk, Projects and Legal Teams.
  • Interact with external stakeholders including but not limited to Municipalities / Eskom / Local Business Forum’s.

Key Duties & Responsibilities    
Facilities Management           

  • Implement management systems to execute planned and reactive maintenance in a cost effective and legally compliant manner. This will involve travelling between sites.
  • Coordinate the maintenance of 5 sites, including but not limited to electrics, plumbing, air conditioning, fittings, fire equipment and meeting room equipment.
  • Update and maintain all databases and records, including electronic and hard copy records including but not limited to employee lockers, asset lists and other SHERQ requirements
  • Regular update and maintaining of Inspection Sheets and SHERQ records
  • Execute small facilities related projects with guidance from the projects team.
  • Ensure housekeeping rules are applied in / on the premises
  • Interact with external stakeholders including but not limited to Municipalities / Eskom

Soft Services Management

  • Ensure that negotiated Service Level Agreements are managed, these will cover:
  • Cleaning contracts including but not limited to Canteen, Office Space, Meeting Rooms and Cafes.
  • Internal and external plants contracts
  • Contracted caterers and coffee, cooler and fountain machine maintenance
  • Pest control
  • Sprinklers and Fire equipment maintenance and compliance
  • And other service providers
  • Drive energy and water efficiency initiatives across our facilities

SHERQ Systems

  • Ensure systems are in place to manage Health and Safety to the equivalent of a five-star NOSA rating and legal compliance.
  • Ensure ISO 14001 and ISO 9001 systems for the facilities and manage and all related documentation is completed
  • Ensure accurate utilisation of the RUBI risk system.

Security & Risk Management:

  • Maintain and communicate safety and emergency procedures at Central Office site, Bedfordview Benrose Rustenburg and Pretoria East
  • Manage work permits in consultation with the Site Risk Controller and Security.
  • Ensuring parking and access control equipment for all sites is maintained.

 Insurance and Accident Management:

  • Interpret and action insurance claims incidences for the sites.

Skills, Experience & Education    
Qualifications

  • Minimum requirement – Grade 12 with a relevant professional or vocational NQF 6 qualification (e.g. Facilities or maintenance management Diploma or equivalent)
  • NOSA Permit to Work Training

Experience

  • Prior management experience in Facilities / Property Management is a requirement
  • Experience in contractor and contracts management is a requirement Experience in project management is an advantage
  • NOSA Incident Investigation & SHE Representative training is a strong advantage

Knowledge

  • NOSA Samtrac and SHERQ System knowledge
  • A working understanding of the OH&S Act, SABS 0400, COID Act and legislative compliance.
  • Microsoft office package
