- This exciting opportunity exists in the Information & Technology Division at our Kenilworth Office Park in Cape Town. We are looking for a Personal Assistant to provide administrative and office management support to the Chief Information Officer and the Exco team and to ensure that all secretarial/administrative/support requirements are met timeously.
- The successful candidate will perform their responsibilities in an organised and timely fashion which is consistent with the operating practices of the organisation, the requirements of their roles and in doing so provide overall support to managers within the division as required.
Minimum requirements
- Secretarial Diploma/Certificate
- 5 – 7 years of secretarial/PA experience
- Proficiency in MS Word, Excel, PowerPoint and Outlook
- Proficient in the effective management of remote working platforms such as Microsoft Teams/Zoom etc.
- Proficiency with telephone systems, conference calling facilities and internal transfers
- Experience with high efficiency and accuracy of typing and word processing
- Experience with diary and travel management

Personal Assistant
- Diary and meeting management for the CIO and IT leadership team
- Team administration using MS Teams platform
- Presentation collation and formatting using MS Office applications
- Meeting agenda management, note taking, action follow up
- Support for the HR administrative function and liason person for IT
- Phone call screening
- General administrative support for the leadership team
Event Co-ordination
- Collate meeting information and monthly performance reports / Workshops / Strat Sessions / Training / Roadshows / Functions: Venue booking, catering etc
- Event planning and management for the annual IT charity golf day and other IT events taking place during the year
Information & Technology Department
- Administration around Local and International Travel for IT Team: Flights, Transfers, Vehicle Hire, Accommodation
- Office Stationery management
- Gifting and Flowers
- Building and Equipment Maintenance
- Office administration for the IT function and liaison with the facilities team
