Front Office Administrator Position (Airport Industria)

Mango5 is seeking a talented Front Office Administrator & Transport Co-Ordinator to join our vibrant team at our Airport Industria branch. As a pivotal member of our facilities department, you will play a crucial role in ensuring the smooth operation of our office through your impeccable administrative skills and proactive approach.

KEY RESPONSIBILITIES:

FRONT OFFICE OPERATIONS:

  • Operate the switchboard with finesse, managing incoming calls and communications effectively.
  • Extend a warm welcome to visitors, new staff, suppliers, and contractors, ensuring their experience at Mango5 is professional and memorable.
  • Coordinate meeting and training room bookings and ensure all arrangements are in place for productive gatherings.
  • Receive deliveries and manage collections.

ADMINISTRATIVE SUPPORT:

  • Handle various administrative and account-related tasks, including documentation handling (copying, scanning, printing, filing, shredding) and correspondence management meticulously.
  • Assist in managing schedules and deadlines for our management team, ensuring efficiency in daily operations.

LOGISTICS AND COORDINATION:

  • Efficiently coordinate staff transportation, ensuring timely and cost-effective routing.
  • Keep clients informed of any transportation updates to maintain service reliability.
  • Handle transport-related escalations with finesse, maintaining our high service standards.

FACILITY MANAGEMENT:

  • Collaborate with the head of facilities to maintain our office space and equipment.
  • Manage stock control and assist in organizing staff events and functions.
  • Compiling induction packs, name tags, and access tags.
  • Manage night shift cleaning staff and distribution of their stock.
  • Arrange and manage general office access.
  • Distribution of stationery.

EXPERIENCE AND QUALIFICATIONS:

  • Matric/Grade 12 or equivalent qualification.
  • A background in Transport and Logistics Management is advantageous.
  • Minimum of 2 years of experience in Office Management or as an Office Administrator.
  • Proficiency in Microsoft Office Suite.  Proficiency in Excel is a must.
  • Clear criminal record.
  • Own vehicle required. (You will need to travel to Century City when required)
