Facilities Coordinator- Soft Services
- Tsebo Facilities Solutions is looking for a Facilities Coordnitor who will be responsible for supporting the Soft Services Manager in overseeing the day-to-day delivery of cleaning, hygiene, landscaping, pantry, ponds, pest control, reception, waste and related services across the Client’s campus. The role includes direct supervision of the Moves & Churns team (Transport Services), responsible for the safe and efficient relocation of furniture and equipment on-site) and ensuring service providers deliver in line with contractual obligations and agreed SLA/KPI standards. The position combines operational oversight, supplier governance, administration, and reporting, with a strong focus on customer service and compliance. Be prepared to support all TFS entities within this account under Soft Services.
Duties & Responsibilities
DUTIES: (Role & responsibility)
- Supervise the Moves & Churns team to ensure all relocations, furniture moves, and equipment transfers are carried out efficiently, safely, and with minimal disruption.
- Support the Soft Services Manager in monitoring and ensuring high standards of service delivery across Cleaning, Hygiene, Landscaping, Pantry, Ponds, Pest Control, and related services etc.
- Conduct site inspections and service provider compliance checks.
- Custodian of hygiene and beverage consumables: stock management, utilisation control, reporting, and replenishment planning.
- Provide support during peak workloads (including occasional assistance to Events or other teams as directed).
- Assist with supplier governance, SLA monitoring, contract evaluations, and reporting.
- Prepare meeting agendas, take minutes, and follow up on action items for weekly/monthly/quarterly KPI reviews.
- Draft BOQs, consolidate comparative quotations, and support procurement processes.
- Assist with HR processes such as coordinating leave schedules for Soft Services staff.
- Maintain accurate documentation in line with Tsebo and Client requirements, including HSE records, compliance certificates, and audit-ready files.
- Prepare reports, spreadsheets, correspondence, and presentations for management and client stakeholders.
- Support financial administration including budget monitoring, purchase orders, and cost control.
- Communicate effectively with all levels of staff, subcontractors, and client representatives
Skills and Competencies
- Good understanding of both Tsebo Facilities Solutions and Client operations: Hard & Soft Skills, with specific skills within theSoft Service operations
- Strong understanding of Soft Services delivery within a facilities contract
- Knowledge of service level agreements, supplier governance, and compliance requirements
- Proficiency in MS Office (Word, Excel, PowerPoint) and ability to produce reports/presentations
- Working knowledge of SHEQ and related compliance documentation.
- Ability to manage budgets, stock, and consumables
- Excellent verbal and written communication skills
- Strong organisational and administrative skills
Specialist Skills and Knowledge
- Experience and working knowledge of Operations and associated administration within Clients Operations is a prerequisite
- Experience and knowledge of Client and Tsebo financial processes, documentation management, processes and systems, within Tsebo environment is a requirement
- Assist Tsebo Soft Services Manager and associated Hard Services Team in drafting, submitting, qualifying BOQ’s and consolidation of information, for submission to Client for approval.
- Working knowledge of MS Office, in particular MS Word, Excel, Powerpoint, etc
- Experience and knowledge of facilities management and Soft Services processes and industry within the Client operational environment is required
Qualifications
- Minimum Grade 12.
- Studies toward a Facilities Management qualification.
- Post Matric qualification in Hospitality/Entertainment industry (preferred)
- 4-5 years’ experience within an FM operation, more specifically within Soft Services
- Managed Soft Services across the entire suite of services (Cleaning, Hygiene, Landscaping, Pest Control, Waste Management, Concierge/Reception services, etc)
- Supervisory experience, preferably managing teams and/or subcontractors
- Experience working within a large corporate or international client environment
