Contract Supervisor

Job Description:

  • The Contract Supervisor is responsible for day to day operational service delivery in line with client Service Level Agreements and Pricing Schedules.

Minimum Requirements:

Experience:

  • Min 3 years’ experience in a Supervisory role with HR generalist experience
  • Warehousing industry experience would be an added advantage
  • People and Performance Management 

Qualification: 

  • Grade 12 or NQF 4 related Qualification
  • Tertiary business qualification ideally in logistics, supply chain management or HR would be an added advantage

Roles and Responsibilities:

  • Understand client needs and compile comprehensive job description for each role
  • Establish a relationship with Resource centre and liaise with them in terms of employee requirements
  • Provide feedback to Resource Centre on candidates supplied
  • Ensure that the Resource Centre maintains a pool of readily available potential candidates as per contract requirements
  • Briefing of employees including transport arrangements, address, times etc, (or supply Recruitment centre with brief if agreed.)
  • Understand client needs and compile comprehensive job specification to give to the Resource Centre
  • Establish relationship with Resource centre and liaise with them in terms of employee requirements
  • Briefing of all assignees with regards to FunxionO, as well as client operating policies, procedures, health & safety and labour relations issues prior to placing an individual on assignment or on the first day at client site.
  • Issue of protective equipment (and related documentation), prior to placing an individual on assignment
  • Ensure that a new Annexure A is signed by employees for each site project
  • Explain payroll process and layout of payslips to employees
  • Introduce employees to client contacts
  • Coordination of transport of employees and approval thereof by client and/or Operations Manager
  • Ensure all employee’s are inducted and have clear understanding of job requirements, shift patterns and output expectations
  • Conduct training with new employee’s and monitor progress to ensure candidate is efficient
  • Address and solve employee problems & grievances promptly and in a professional manner / attending to employee wellbeing issues.
  • Ensure that all employees are managed on a day to day basis in accordance with applicable labour legislation, as well as FunxionO and client labour relations policies and procedures.
  • Ensure that all incidents involving disciplinary issues are fully investigated, recorded and acted upon in a legally defensible manner, seek guidance from the Contract Manager and Labour Relations Manager as required
  • Manage poor performance in accordance with employee job descriptions and job requirements and proper record keeping thereof
  • Ensure payroll department is presented with accurate payroll data processed within deadline.  This might involve other individuals but the overall responsibility lies with the Contract Manager
  • Checking, verification and approval of preextract reports from Payroll
  • Responsible for ensuring first time accuracy of payroll with no necessity for credit notes or adjustments
  • Distribute payslips weekly/monthly to employees (as per payroll frequency)
  • Resolve employee payroll queries timeously
  • Compile and deliver accurate reports as per the Contract Manager and client requirements (e.g. any production related report, shift reports,overtime, hrs worked, disciplinary reports etc).
  • Monitor attendance and deal with unauthorised absenteeism and abuse of sick leave 
  • Manage employee pool to ensure all shifts are fully staffed
  • Monitor timekeeping and extended breaks of employees and take appropriate remedial action
  • Ensure communication with transporters to ensure timeous delivery of staff
  • Responsible for ensuring accurate and on time invoice delivery 
  • Ensure that signed proof of delivery is obtained for all invoices 
  • Continuously follow up and engage with clients and Credit Control to ensure that invoices are paid timeously and within payment terms
  • Ensure that all client invoice queries are dealt with timeously in liaison with Credit Control and / or escalated as necessary
  • Monitor expenditure with regard to PPE, medicals etc and ensure that costs do not exceed the parameters of the Pricing Schedule provisions
  • Ensure any changes made during shift due to operational requirements from client side is billed 
  • Continuously monitor shift performance to ensure all client deadlines are met, together with quality standards so that no penalties are incurred.
  • Establish and build a relationship with client representatives
  • Understand client requirements and ensure daily communication is maintained with the client in terms of operational service delivery requirements
  • Attend formal meetings at client with the Contracts Manager when required.
  • Develop awareness of client needs and business and identify potential growth opportunities within client and communicate to Operations Manager
  • Ensure the required employee documentation management processes and systems are in place on all responsible sites to ensure compliance with internal, Adcorp and DoL audits
  • Ensure compliance with relevant legislation, client SLAs, company policies/SOPs and corporate governance requirements 
  • Ensure effective management of health and safety and IOD processes to ensure compliance with legislation, Company guidelines and client requirements
