Job Description:

Minimum Requirements:
Experience:
- Up to 2 years supervisory experience in production/packaging industries
- Food Production, Manufacturing and/or Packaging industry experience essential
- FMCG experience advantageous
- IR/CCMA experience advantageous
- People and Performance Management
Qualification:
- Grade 12 or NQF 4 related Qualification
- NQF 5 Generic Management or Business Management Qualification
- Related industry degree/ND advantageous i.e. CI/Supply Chain/FMCG/Logistics
Roles and Responsibilities:
- Ensure proper planning of employees to execute daily operations tasks
- Tracking of output performance,
- Ensure Toolbox and feedback sessions are in place
- Management of daily ER/IR issues
- Updating of performance dashboards
- Daily operational risk mitigation
- Key client relationship management
- Conduct monthly management scorecard with client to evaluate service
- Processing of payroll for direct staff
- Ensure all HR matrix are up to date
- Management of Health and Safety not limited to safe keeping of safety file
- Safety file maintenance, i.e. insurance certificates etc
- Accurate capturing of weekly and monthly sales orders
- Ensure correct job spec is created for each role within operational reporting structure
- Ensure all additional recruitment requirements are authorized
- Establish a relationship with the Recruitment Centre and liaise with them in terms of specific requirements in terms of profile, background, qualifications and experience
- Provide feedback to Recruitment Centre on candidates supplied
- Ensure the completion of all assessments, checks and verification of information according to the Standard Operating Procedures
- Ensure that employees are briefed regarding, address, times etc (or Supply Recruitment Centre with the brief if agreed)
- Arrange and control recruitment of employees as back-up and or replacement staff when required according to contract requirements
- Responsible for reporting on daily planning to the Business Unit Manager
- Forecast and plan for peak and seasonal staffing requirements in liaison with the client production requirements and Recruitment Centre
- Responsible for ensuring that all employees are briefed with regards to FunxionO, as well as client operating policies, procedures, health & safety and labour relations issues prior to placing an individual on assignment or on the first day at client site
- Ensure that protective equipment and related documentation is issued to employees prior to placing them on site
- Responsible for ensuring that an Annexure A is signed by all employees prior to placement
- Ensure that the payroll process and layout of payslips is explained to employees
- Responsible for arranging, controlling and overseeing the training of employees
- Ensure that employee problems & grievances are addressed and solved promptly and in a professional manner / attending to employee well-being issues and that documented evidence is kept on file where required
- Ensure that all employees are managed on a day-to-day basis in accordance with applicable labour legislation, as well as FunxionO and client site policies and procedures
- Ensure that all incidents involving disciplinary issues are fully investigated, recorded and acted upon in a legally defensible manner
- Management of poor performance in accordance with their job descriptions and job requirements and proper record keeping thereof
- Responsible for ensuring that all disciplinary action is recorded and reported on according to FunxionO standard operating procedures
- Responsible for ensuring that contingency plans are in place to deal with strikes and unplanned work stoppages
- Ensure harmonious industrial relations climate on client sites through collaboration with relevant union officials and shop stewards when required
- Conduct regular meetings with employees
- Ensure that the site team adheres to the payroll deadlines and presents the payroll department with accurate payroll data
- Checking, verification and approval of pre-extract reports from Payroll
- Responsible for ensuring first time accuracy of payroll with no necessity for credit notes or adjustments
- Ensure that pay slips are distributed to employees weekly/monthly (as per payroll frequency)
- Ensure that employee payroll queries are resolved timeously
- Keep a record of payroll queries and provide reports to FunxionO Management when required
- Responsible for ensuring the integrity of data on the payroll system including the accurate loading of employees onto assignments as well as termination of assignments
- Print and hand over pay-slips to all employees
- Compile and deliver accurate reports as per client requirements as and when required
- Ensure a complete record of all staff on site at all times
- Monitor and manage attendance and deal with abuse of sick leave
- Ensure that shifts are fully staffed as per operational requirements
- Monitor and manage employee time keeping
- Ensure that all client invoice processes and requirements are adhered to and queries dealt with timeously in liaison with Account Receivable
- Responsible for ensuring accurate and on time invoicing
- Continuously follow up and engage with clients and Account Receivable to ensure that invoices are paid timeously and within payment terms
- Fully understand client pricing schedules and ensure that all contract expenditure is within the parameters of the approved pricing schedules
- Analyse weekly and monthly stats report from Business Unit Manager and highlight inconsistencies or irregularities
- Perform the role of client liaison officer to build and maintain supportive partnership with the client
- Responsible for the implementation and maintenance of client Service Level Agreements
- Conduct regular meetings with Clients
- Develop awareness of client needs and business and identify potential opportunities within client and communicate to Business Unit Manager
- Responsible for establishing a positive work environment that results in a committed, motivated, productive business unit and optimal retention of staff
- Drive transformation by ensuring recruitment of high caliber staff aligned to achievement of the funxionO Equity targets and goals
- Daily management and coaching of direct reports
- Ensure site adherence to all HR policies, processes and SOPs
- Ensure the required team performance management, talent development, and succession plan processes are in place, and supported by individual development plans for each employee
- Ensure team members are appropriately trained and developed to fulfil their roles and drive learning culture in the business unit
- Ensure that team is staffed with high caliber staff to drive the day-to-day operations and service delivery on responsible site/s
- Ensure safety rules are followed and cardinal rules adhered to
- Uphold FunxionO procedure on incident reporting and investigation in conjunction with clients procedure
- Ensure the required employee documentation management processes and systems are in place on all responsible sites to ensure compliance with internal, Adcorp and DoL audits
- Ensure regional operations compliance with relevant legislation, client SLAs, company policies/SOPs and corporate governance requirements
- Ensure effective management of health and safety and IOD processes to ensure compliance with legislation, Company guidelines and client requirements
- Along with the HR team, ensure processes associated with BBBEE and Employment Equity compliance are adhered to
