Job Summary

  • Requirements and Expectations

Minimum Requirements

  • A Senior Certificate (Grade 12) or equivalent qualification.
  • Three (3) to five (5) years of relevant working experience.
  • Demonstrated understanding of report writing.
  • Knowledge and insight into human resource management prescripts.
  • Familiarity with financial systems, particularly SAP.

Knowledge, Skills, and Competencies

  • Basic problem-solving and analytical skills.
  • Strong communication skills (both verbal and written).
  • Ability to supervise staff and coordinate administrative functions.
  • Good organizational, record management, and reporting abilities.
  • Understanding of fleet management procedures and related policies.

Key Duties and Responsibilities

  • Supervise and render general clerical support services within the component.
  • Provide and oversee personnel administration and clerical support functions.
  • Supervise and mentor administrative staff to ensure effective service delivery.
  • Manage and oversee fleet operations, including the utilization, control, and short-term hiring of vehicles.
  • Conduct vehicle inspections (pre- and post-use) and ensure proper recordkeeping.
  • Compile monthly vehicle usage and expenditure reports for the cluster.
  • Maintain and reconcile logbooks for pool vehicles, acting as proxy for departmental vehicles.
  • Administer vehicle accidents and coordinate related investigations.
  • Oversee vehicle maintenance and repairs and ensure compliance with subsidy policies.
  • Assist officials in the application process for subsidized motor vehicles, ensuring all submissions meet policy requirements.
  • Serve as secretary to the Subsidized Motor Vehicle Advisory Committee.
  • Manage corporate travel logistics, including processing requests for flights, accommodation, and car hire.
  • Prepare and compile travel reconciliations and related financial reports.
