Job Summary
- The HR Operations Specialist / Analyst plays a vital role in ensuring the smooth, efficient, and compliant execution of daily Human Resources operations. This position is responsible for maintaining accurate employee data, managing HR systems (HRIS), supporting payroll and benefits administration, and ensuring adherence to all applicable labour laws. The role directly impacts the entire employee lifecycle—from onboarding to offboarding—by promoting operational excellence and data-driven decision-making.
Key Responsibilities
HRIS and Data Management
- Manage and maintain the Human Resources Information System (HRIS) and related HR technologies.
- Ensure data integrity and accuracy across all employee records, including personal information, compensation, benefits, and organisational changes.
- Process all employee lifecycle transactions accurately and in a timely manner.
- Generate scheduled and ad-hoc HR reports and analytics to support compliance, management decisions, and continuous improvement.
Payroll and Benefits Administration
- Support timely and accurate payroll processing, including data entry, reconciliation, and issue resolution in collaboration with Finance.
- Administer employee benefits programs (e.g., health insurance, pension, and leave administration), handling enrollments, updates, and terminations.
- Serve as the first point of contact for employee inquiries related to payroll and benefits.
Compliance and Policy Execution
- Ensure HR operations comply with federal, state, and local labour laws and company policies.
- Support internal and external HR audits and maintain compliance documentation (e.g., background checks, mandatory training records).
- Implement and communicate HR policies to ensure consistent application across the organisation.
Employee Support and Process Improvement
- Provide first-line support to employees and managers on HR processes, systems, and policies.
- Manage the administrative aspects of employee onboarding and offboarding.
- Continuously assess HR workflows to identify and implement process improvements for efficiency and a better employee experience.
Required Skills and Qualifications
Education & Experience
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
- Minimum of 3 years’ experience in HR Administration or HR Operations.
- Proven experience managing and maintaining an HRIS platform.
Core Competencies
- HRIS Proficiency: Strong working knowledge of HR systems, data management, and configuration.
- Attention to Detail: High level of accuracy in data handling and documentation.
- Analytical Thinking: Ability to collect, analyse, and interpret HR data for insights and trends.
- Compliance Knowledge: Sound understanding of employment laws and HR regulatory standards.
