Commercial Tendering & Bidding Officer
Job Purpose
- The Commercial Tendering and Bidding Officer is responsible for managing, coordinating, and executing the full tendering and bidding lifecycle for the organization.
- This role ensures that all bids are competitive, compliant, and submitted on time, maximizing the company’s success rate.
- The officer will leverage platforms like Ariba and NIPEX to identify opportunities, manage submissions, and maintain strong relationships with clients and vendors.
Key Responsibilities
Tender & Bid Management:
- Identify and evaluate commercial tendering opportunities on platforms such as NIPEX and Ariba.
- Prepare, coordinate, and submit high-quality bid documents in compliance with client requirements and internal standards.
- Ensure timely submission of bids, proposals, and supporting documentation.
Commercial Analysis & Strategy:
- Conduct detailed commercial, financial, and technical analysis to inform bid strategy and pricing.
- Collaborate with internal stakeholders (Engineering, Operations, Legal, Finance) to develop compelling and compliant proposals.
- Recommend innovative approaches to increase win probability while mitigating commercial risks.
Vendor & Client Management:
- Maintain strong relationships with clients, vendors, and strategic partners.
- Monitor and track bid outcomes, client feedback, and market trends to inform future submissions.
Documentation & Compliance:
- Maintain accurate records of all tenders, bids, and supporting documents.
- Ensure compliance with regulatory and corporate procurement policies.
- Monitor deadlines, deliverables, and internal approvals to maintain high standards of governance.
Continuous Improvement:
- Evaluate previous bids for lessons learned and areas of improvement.
- Implement best practices in tendering, pricing, and bid management.
- Stay updated on industry trends, platform updates, and new bidding opportunities.
Key Performance Indicators (KPIs)
- Timely and accurate submission of tenders.
- Win rate of submitted bids.
- Compliance with internal and client bidding requirements.
- Quality and completeness of bid documentation.
Qualifications & Experience
- Bachelor’s degree in Business Administration, Procurement, Engineering, or related field.
- Minimum of 4- 6 years’ experience in tendering, bidding, or commercial roles in the oil & gas, engineering, or construction sectors.
- Demonstrable expertise in Ariba and NIPEX platforms.
- Strong knowledge of commercial and contract management principles.
- Excellent analytical, negotiation, and communication skills.
- Detail-oriented, highly organized, and able to manage multiple bids simultaneously under tight deadlines.
