Admin/Procurement Officer

JOB PURPOSE:

Responsible for supporting the management of facilities to create a conducive work environment and handling vendor relationships to ensure that all services meet organizational standards.

JOB RESPONSIBILITIES:

Support the general oversight of the administration of the Centre including cleaning, facility maintenance and management i.e. the maintenance and operations of all facility-related activities. Implement facility management policies and procedures.

  • Ensure compliance with health and safety regulations within the workplace.
  • Support the management and maintenance of the office assets, utilities, office equipment, consumables and supplies.
  • Support the accurate recording and updating of office assets in the asset register.  Ensure updated records and valid documentation all of vendors and other service providers are registered on approved data capture software (e.g. Sage)
  • Support the maintenance of the fire extinguishers amongst other health and safety equipment.
  • Ensure the setting up a filling system for the team, ensuring ease of storage and retrieval of documents.
  • Develop and maintain effective maintenance procedure for all IT equipment, printers, photocopiers as well as the generator.
  • Support the oversight of all logistic arrangements including maintaining an updated record of events, travel itineraries of staff, visa/CERPAC processing.
  • Handle negotiations with hotels, travel and transport services and oversee general logistics for the office or other activities.
  • Support the management of the procurement process, including vendor selection, negotiation, and contract management. Also support the oversight of the procurement and management of diesel supplies in the Centre.

REQUISITE QUALIFICATION AND EXPERIENCE

  • BA/BSc/HND – Must hold a degree in Business, Administration, Supply Chain Management or related field.
  • 4 – 6 years’ Experience – Minimum of four years’ work experience

Healthcare experience in any capacity will be an advantage
