Job Summary:
We are looking for a reliable and organized Office Assistant to perform a variety of administrative and clerical tasks. The ideal candidate will help ensure the smooth day-to-day operation of our office by supporting staff, managing routine office duties, and assisting with basic data entry and communication tasks.
Key Responsibilities:
Administrative Support
- Assist in daily office operations and provide administrative support to staff.
- Handle phone calls, emails, and other communications professionally.
Filing & Documentation
- Maintain and organize paper and electronic files.
- Prepare, scan, and photocopy documents as needed.
Data Entry
- Input and update records, invoices, and other documents into databases or spreadsheets accurately.
- Verify data for accuracy and completeness.
Scheduling & Coordination
- Help schedule appointments, meetings, and conference room bookings.
- Assist in coordinating travel arrangements and event planning.
Office Supplies & Inventory
- Monitor and manage office supplies inventory.
- Place orders for supplies and ensure timely delivery.
Reception Duties
- Greet and direct visitors, clients, or vendors.
- Maintain a clean and welcoming reception or front desk area.
Mail Handling
- Sort, distribute, and send incoming and outgoing mail and packages.
Support to Other Departments
- Provide general support to other departments as needed.
- Assist in preparing reports and presentations.
Required Skills:
- Good verbal and written communication skills
- Basic computer skills (Microsoft Office: Word, Excel, Outlook)
- Strong organizational and multitasking abilities
- Attention to detail and accuracy
- Dependable and punctual
- Ability to maintain confidentiality and handle sensitive information
Qualifications:
- High school diploma or equivalent (Associate’s degree or office administration training is a plus)
- Previous experience in an administrative or clerical role preferred, but not required
- Familiarity with office equipment (e.g., printers, scanners, copiers)
