Office Assistant

Job Summary:

We are looking for a reliable and organized Office Assistant to perform a variety of administrative and clerical tasks. The ideal candidate will help ensure the smooth day-to-day operation of our office by supporting staff, managing routine office duties, and assisting with basic data entry and communication tasks.

Key Responsibilities:

Administrative Support

  • Assist in daily office operations and provide administrative support to staff.
  • Handle phone calls, emails, and other communications professionally.

Filing & Documentation

  • Maintain and organize paper and electronic files.
  • Prepare, scan, and photocopy documents as needed.

Data Entry

  • Input and update records, invoices, and other documents into databases or spreadsheets accurately.
  • Verify data for accuracy and completeness.

Scheduling & Coordination

  • Help schedule appointments, meetings, and conference room bookings.
  • Assist in coordinating travel arrangements and event planning.

Office Supplies & Inventory

  • Monitor and manage office supplies inventory.
  • Place orders for supplies and ensure timely delivery.

Reception Duties

  • Greet and direct visitors, clients, or vendors.
  • Maintain a clean and welcoming reception or front desk area.

Mail Handling

  • Sort, distribute, and send incoming and outgoing mail and packages.

Support to Other Departments

  • Provide general support to other departments as needed.
  • Assist in preparing reports and presentations.

Required Skills:

  • Good verbal and written communication skills
  • Basic computer skills (Microsoft Office: Word, Excel, Outlook)
  • Strong organizational and multitasking abilities
  • Attention to detail and accuracy
  • Dependable and punctual
  • Ability to maintain confidentiality and handle sensitive information

Qualifications:

  • High school diploma or equivalent (Associate’s degree or office administration training is a plus)
  • Previous experience in an administrative or clerical role preferred, but not required
  • Familiarity with office equipment (e.g., printers, scanners, copiers)
