Inventory Accounts Officer
Job Summary:
- The Inventory Accounts Officer supports financial operations with a strong emphasis on inventory tracking, reconciliation, and documentation management. This role bridges traditional accounting duties and inventory control processes to ensure alignment between warehouse data, ERP systems, and the general ledger. The ideal candidate will be detail-oriented, financially skilled, and capable of working cross-functionally with warehouse, procurement, and finance teams.
Key Responsibilities
Inventory Accounting & Reconciliation
- Maintain accurate and up-to-date inventory tracking across all product categories and locations
- Reconcile stock data from warehouse reports, ERP systems, and accounting ledgers
- Assist in physical stock counts and month-end inventory reconciliation
- Flag inventory discrepancies and escalate for resolution
Financial Documentation & Audit Readiness
- Ensure that inventory-related transactions are properly documented for audit purposes
- Organise vendor invoices, delivery notes, waybills, GRNs, and stock records for easy retrieval
- Support financial and tax audits by preparing inventory-related schedules and documentation
Vendor Payment Support
- Assist in verifying supplier invoices against actual deliveries and purchase orders
- Collaborate with procurement and logistics teams to confirm receipt and proper valuation of goods
- Flag discrepancies in quantity, pricing, or documentation before payment processing
ERP & Compliance Support
- Update and reconcile inventory modules in ERP/accounting systems
- Ensure inventory transaction entries comply with internal accounting policies and standards
- Assist in implementing and monitoring internal controls related to stock and material usage
Qualifications & Requirements
- BSc or HND in Accounting, Finance, or a related field
- 1–3 years of experience in accounting, preferably with exposure to inventory or retail-based operations
- Proficiency in Microsoft Excel and accounting/ERP software (e.g., QuickBooks, Sage, Zoho)
- Strong attention to detail and documentation discipline
- Ability to interpret inventory records, identify variances, and resolve issues
- Strong communication and coordination skills for cross-department collaboration
