What You’ll Actually Be Doing

Imagine a client walks into their newly completed office space and everything flows perfectly from the initial design concept to the final installation. The project coordination you orchestrated and the operational systems you built made this seamless experience possible. Your work doesn’t just manage processes, it ensures that every Minimal Concept project reflects our commitment to excellence and human-centered design.

As an Operations Manager, you’ll be the backbone that connects creative vision with flawless execution. You’ll work directly with the Founder and talented design teams to ensure every project moves smoothly from concept to completion while building the operational foundation for our growing company.

Your Day to Day Reality:

  • Morning: Review project timelines, coordinate with design teams on daily priorities, and check in with clients on active installations.
  • Core Work: Manage project workflows using tools like Zoho Project or Asana, coordinate with vendors and contractors, and ensure design specifications translate into flawless execution. You’ll oversee procurement schedules, quality control processes, and resource allocation across multiple concurrent projects.
  • Problem-Solving: Navigate supply chain challenges, resolve on-site installation issues, and optimize processes to improve efficiency without compromising our design standards.
  • Impact Moments: Watch clients experience their transformed spaces for the first time, knowing that your coordination made their dream renovation possible within timeline and budget.

Technical Foundation You’ll Need

  • 3-5 years experience in operations management, project coordination, or team leadership
  • Added Advantage: Experience in interior decoration, real estate development, construction project management, or related creative industries
  • Proven track record managing complex projects with multiple stakeholders
  • Proficiency with project management tools (Zoho Project, Trello, Asana, Excel, Google Workspace)
  • Strong understanding of budgeting, procurement, and resource planning
  • Experience coordinating with vendors, contractors, and external partners
  • Bachelor’s degree in Business, Operations, or related field preferred

Key Responsibilities

  • Client Experience Management: Lead exceptional client service throughout our Assessment, Design, and Execution phases, ensuring clear communication, expectation management, and satisfaction at every touchpoint.
  • Operational Excellence: Oversee daily workflows across design, procurement, and project execution to ensure consistent quality and efficiency while maintaining our client-first approach.
  • Project Delivery: Manage project timelines from initial assessment through final installation, coordinating with all stakeholders to ensure every client receives their completed space on schedule and to specification.
  • Process Optimization: Continuously refine our 3-stage process (Assessment, Design, Execution) to enhance client experience while improving operational efficiency.
  • Team Coordination: Lead operational teams, facilitate communication between departments, and maintain accountability across all project phases while fostering a client-focused culture.
  • Quality Assurance: Implement and monitor quality control processes to ensure every delivered project meets both our standards and exceeds client expectations.
  • Resource Management: Coordinate procurement, manage operational budgets, and optimize resource allocation across multiple concurrent projects without compromising client service quality.
  • Stakeholder Relations: Maintain exceptional communication with clients, vendors, and contractors throughout project lifecycles, ensuring transparency and proactive issue resolution.
  • Financial Management: Handle bill compilation and sending bills to clients, ensuring accurate invoicing and timely payment processing.
