About the role
- The Warehouse Assistant is responsible for proper handling of USG products from receiving to dispatch, and ensuring good distribution practices as well as stock accuracy.
- The offer and contract are subject to availability of USG donor funding.
Job Responsibilities
- Coordinate the receipt of USG products by overseeing receiving activities at the Third-Party Logistics (3PLs), ensuring proper handling, and posting products accurately in the system to maintain inventory integrity
- Report on the status of inbounds and outbounds of Health Products and Technologies ( HPTs) to ensure adherence to established procedures by 3PLS
- Ensure proper stock rotation to minimize product spoilage and maintain inventory accuracy iv. Participate in the preparation of HPT for shipment, ensuring proper labelling and packaging by 3PLs
- Verify goods loaded against tally sheets and delivery notes during loading of trucks
- Check and report the condition of the 3PLS warehouse environment to ensure it is clean and organized
- Participate in physical stock counts and reconcile inventory records to ensure accuracy
- Verify the implementation of quality control measures by 3PLS to maintain the integrity of HPT
- Comply with all safety regulations and procedures to ensure a safe working environment
- Verify processed orders at the 3PL to confirm that outgoing orders to clients are error-free, minimizing client complaints and enhancing service quality
- Address client complaints by conducting thorough investigations, implementing corrective and preventive actions (CAPA), and resolving issues both physically and in the system to enhance customer satisfaction
Qualifications
- Diploma in Business related field, or Diploma in Health Systems Management or Enrolled Diploma in Pharmacy.
- At least two years of relevant work experience

About the role
- The Warehouse Team Lead is responsible for coordinating the smooth and efficient operation of warehouses, ensuring that Health Products and Technologies (HPT) are stored, handled, and distributed accurately and on time. The offer and contract are subject to availability of USG donor funding.
Job Responsibilities
- Coordinate receipt of Health Products and Technologies (HPT) and update records for accountability
- Coordinate release of stock to inspection stage for quality assurance assessment
- Ensure accountability of HPT during storage and order processing
- Supervision of warehouse staff to ensure timely and accurate processing of orders
- Ensure barcode utilization in applicable warehouse order processes
- Oversee daily activities of warehouse staff including effective performance management to achieve operational objectives and targets
- Manage and control resources to ensure optimized use and accountability
- Prepare and present management reports for decision making
- Implement guidelines of Good Storage and Distribution Practices for HPT to ensure compliance with regulatory authority
- Ensure material handling tools such as forklifts, pallet movers etc. are operational for efficient use
- Manage packaging materials and related consumables for efficient use
- Manage the assigned team to ensure a healthy work environment
Qualifications
- Bachelor’s degree in Pharmacy or Bachelor’s degree in Health Systems Management, Supply Chain Management, Business Administration, or a related field with a Diploma in Pharmacy;
- Registration or enrollment with the Pharmacy and Poisons Board;
- 5 years of experience in supply chain management or a related field;
- 3 years of experience managing small to medium teams;
- Competence in operations planning and problem solving.
- Experience in donor-funded sector and CILT, CIPS, CHL, Medical Logistics or equivalent certification is an added advantage;
