Junior Immigration Consultant at Fragomen Kenya

Junior Immigration Consultant

The role:

  • A Junior Immigration Consultant at Fragomen in Nairobi plays a key role in supporting the successful delivery of immigration services under the guidance of Senior Consultants and Managers. On a daily basis, the role involves preparing and drafting visa and permit applications, monitoring workflows, and updating the firm’s immigration management system within established service level timelines.
  • The Junior Consultant acts as a first point of liaison with clients – responding to calls and emails professionally, while also conducting research, compiling documentation, and escalating issues as needed.
  • The position works independently on standard cases while gaining exposure to more complex matters and collaborates across internal teams to enhance efficiency. Strong communication, attention to detail, time management, and a client-focused mindset are essential. Previous experience in visa processing is beneficial but not mandatory, as Fragomen provides structured support and development.

What your day will look like:

  • Assist with new client engagements by drafting clear and comprehensive engagement letters
  • Set up and update case files on the internal case management system in a timely manner
  • Use firm technology and digital tools effectively to ensure accurate and efficient work processing
  • Draft and amend detailed support letters for a wide range of visa applications
  • Complete and amend online application forms with accuracy and attention to detail
  • Draft cover letters and memos for direct client use within strict and time-sensitive deadlines
  • Schedule visa appointments, arrange and track payment of application fees, and liaise with third-party agents as necessary
  • Communicate with clients and stakeholders in a professional, empathetic, and service-oriented manner
  • Identify potential service issues (e.g., delays or missing documents) and escalate complex cases or non-compliance scenarios to senior staff
  • Assist with various ad hoc administrative functions to support overall team operations
  • Follow firm procedures relating to file maintenance, record keeping, and system usage consistently
  • Archive paper files consistently and regularly in line with established firm protocols

The team:

  • The Fragomen Kenya Inbound team, based in Nairobi, specializes in providing comprehensive immigration services to both multinational and local clients. The team offers strategic support for navigating Kenyan immigration processes, assisting clients across various industries. The team’s solutions-driven approach combines extensive knowledge of Kenyan immigration procedures with practical experience to address complex scenarios. The team also monitors and provides updates on changes in immigration policies, ensuring clients are well-informed and prepared for any impact on their immigration needs

What we are looking for:

Essential criteria:

  • A bachelor’s degree in Business Administration, Arts, Communication or a related field from a recognized university
  • At least 1-2 years previous experience in immigration, compliance, or a similar role in a client focused immigration solutions provision environment
  • Proven ability to build and maintain professional relationships with stakeholders, including clients
  • Strong attention to detail and organisational skills, with the ability to manage case-related documentation accurately
  • Ability to handle multiple tasks and deadlines in a structured, fast-paced environment
  • Strong written and verbal communication skills
  • Professionalism, punctuality, and discretion when working with confidential information
  • A proactive and accountable approach to work, with the ability to work independently and follow through on responsibilities
  • A positive and dependable team player who contributes to a strong team culture

Preferred skills:

  • Familiarity with the Kenyan immigration process and relevant authorities such as the Department of Immigration Services is advantageous
  • Experience using immigration casework, workflow, or document management systems
  • Exposure to legal, compliance, or professional services environments
  • Willingness to take initiative in improving day-to-day processes or supporting peers
