Duties and Responsibilities
- Programme Coordination & Administration
- Support the Fellowship Programme Officer in planning, scheduling, and managing Fellowship programme activities.
- Assist in the recruitment, review, onboarding, and orientation of new Fellows and mentors.
- Maintain accurate and up-to-date records, databases, and documentation for programme participants, events, and activities.
- Draft, update, and manage programme-related documents, templates, and communications.
- Support in the development and implementation of Standard Operating Procedures (SOPs) for Fellowship programme activities.
- Maintain and regularly update databases of external opportunities (grants, conferences, publications, etc.) relevant to Fellows.
- Source and share professional development and networking opportunities with Fellows.
- Training & Development Support
- Support the coordination and delivery of training courses, and live learning events.
- Liaise with course developers, and facilitators to ensure training materials are available
- and sessions are effectively managed.
- Track Fellows’ participation and progress in trainings and activities
- Support the Fellowship Programme Officer in identifying relevant training and professional development opportunities.
- Mentorship Programme Support
- Assist in the recruitment and onboarding of Mentors for the Mentorship programme.
- Assist in the matching and coordination of Fellows with mentors.
- Monitor mentorship engagement, providing logistical and administrative support.
- Maintain records of mentorship interactions, feedback, and outcomes.
- Grant & Financial Administration
- Support the Fellowship Programme Officer, and the Fellowship Programme Lead in the administration of Fellows Fund grants, including application tracking and documentation.
- Assist in reviewing and organizing financial documents related to grant disbursements and compliance.
- Work with the Finance and Grants team to ensure proper documentation of Fellows’
- financial support.
- Monitor and track Fellows’ submission of narrative and financial reports, ensuring timely collection, review, and submission of all required documentation.
- Fellow Liaison & Support
- Serve as the primary point of contact for Fellows, ensuring timely communication and support.
- Respond to Fellows’ inquiries and escalate issues to the Fellowship Programme Officer, and Fellowship Programme Lead where necessary.
- Track Fellows’ participation, progress, and engagement across programme activities.
- Share feedback mechanisms for Fellows to share their experiences and suggestions.
- Schedule, coordinate, and document monthly Fellow check-in meetings.
- Administrative & Logistical Support
- Coordinate event logistics, including venue booking, travel arrangements, and materials preparation.
- Provide general administrative support to the Fellowship Programme Officer and Fellowship Programme Lead.
- Assist in maintaining programme-related documentation, reports, and records.
- Public Engagement & Communications Support
- Assist in the development of Fellowship Programme-related communication and content creation.
- Collaborate with the Mawazo Communications Team to promote Fellows’ research and achievements.
- Monitoring, Evaluation & Learning (MEL)
- Assist in data collection, surveys, and analysis to assess programme impact.
- Maintain programme evaluation records and provide inputs for progress reports.
- Support the Fellowship Programme Officer, and the Fellowship Programme Lead in tracking key performance indicators (KPIs) for programme effectiveness
Requirements
- Bachelor’s degree in Social Sciences, STEM, Development Studies, Education, or a related field.
- Certification in Project Management, Training Facilitation, or Programme Administration is an advantage.
- At least 2 years of experience in programme administration, training, mentorship coordination, grants/funds management, or project management.
- Experience working in nonprofits, research institutions, or higher education programmes is an advantage.
- Strong verbal and written English communication skills
- Basic verbal and written French communication skills
- Attention to detail and strong organisational, analytical, and critical thinking skills
