Executive Assistant

Duties & Responsibilities

  • External Communication
  • Serve as the primary point of contact for incoming client calls and inquiries, ensuring responsive and professional communication
  • Coordinate and liaise with the social media team to ensure the firm’s website content and digital presence remain up-to-date, informative, and brand-aligned, while following up on content updates, client engagement activities, and digital marketing initiatives to ensure timely execution
  • Internal Communication
  • Coordinate internal communication efforts, acting as a liaison to ensure effective information flow between teams and management
  • Maintain open lines of communication to support team members and facilitate the smooth handling of operational queries
  • Represent the Managing Partner in meetings and engagements when required, record minutes, and follow up on actions
  • Draft, review, and respond to emails and correspondence on behalf of senior leadership
  • Business Development
  • Write, edit, and submit high quality proposals tailored to the needs of prospective clients, collaborating with relevant departments to ensure accuracy and alignment with firm’s objectives
  • Prepare and send blind profiles and other documentation to potential clients, following up as needed to advance business development efforts
  • Assist in preparing pitch materials and client presentations
  • Track and follow up on business development opportunities
  • Staff Welfare Support
  • Act as a point of contact for staff welfare concerns, communicating employees’ needs to the appropriate departments and assisting in initiatives to support staff well-being
  • Facilitate staff engagement efforts to create a positive and supportive workplace environment
  • Administrative & Operational Support
  • Provide comprehensive administrative support for operations and firm management
  • Manage calendars, travel arrangements, and daily priorities for senior leadership
  • Prepare reports, briefs, and presentations for meetings and board sessions
  • Handle sensitive information with confidentiality and professionalism
  • Assist with client file management and documentation

Required Qualifications

  • Bachelor’s degree in business management, or related field
  • 5+ years of experience supporting senior executives, preferably in professional services
  • Experience in administrative operations
  • CPS (Certified Public Secretary) certification would be an added advantage
  • Strong written and verbal communication skills
  • Proficiency in website management, social media, and digital content creation
  • Excellent organizational and multitasking skills with the ability to work independently and as part of a team
