Duties & Responsibilities
- External Communication
- Serve as the primary point of contact for incoming client calls and inquiries, ensuring responsive and professional communication
- Coordinate and liaise with the social media team to ensure the firm’s website content and digital presence remain up-to-date, informative, and brand-aligned, while following up on content updates, client engagement activities, and digital marketing initiatives to ensure timely execution
- Internal Communication
- Coordinate internal communication efforts, acting as a liaison to ensure effective information flow between teams and management
- Maintain open lines of communication to support team members and facilitate the smooth handling of operational queries
- Represent the Managing Partner in meetings and engagements when required, record minutes, and follow up on actions
- Draft, review, and respond to emails and correspondence on behalf of senior leadership
- Business Development
- Write, edit, and submit high quality proposals tailored to the needs of prospective clients, collaborating with relevant departments to ensure accuracy and alignment with firm’s objectives
- Prepare and send blind profiles and other documentation to potential clients, following up as needed to advance business development efforts
- Assist in preparing pitch materials and client presentations
- Track and follow up on business development opportunities
- Staff Welfare Support
- Act as a point of contact for staff welfare concerns, communicating employees’ needs to the appropriate departments and assisting in initiatives to support staff well-being
- Facilitate staff engagement efforts to create a positive and supportive workplace environment
- Administrative & Operational Support
- Provide comprehensive administrative support for operations and firm management
- Manage calendars, travel arrangements, and daily priorities for senior leadership
- Prepare reports, briefs, and presentations for meetings and board sessions
- Handle sensitive information with confidentiality and professionalism
- Assist with client file management and documentation
Required Qualifications
- Bachelor’s degree in business management, or related field
- 5+ years of experience supporting senior executives, preferably in professional services
- Experience in administrative operations
- CPS (Certified Public Secretary) certification would be an added advantage
- Strong written and verbal communication skills
- Proficiency in website management, social media, and digital content creation
- Excellent organizational and multitasking skills with the ability to work independently and as part of a team
