Consortium Activities Coordinator
The Consortium Activities Coordinator, under the overall supervision of the Project Manager, is responsible for ensuring the effective implementation of project activities in line with the project’s objectives and work plan.
He/she leads the planning, coordination, and monitoring of activities, ensuring timely delivery and quality results.
He/she also ensures effective coordination among consortium partners and supervises the consultants engaged in the implementation of specific project components. The duty station will be in Nairobi.
Main Duties
Coordination, planning and implementation
- Support the Project Manager and project staff in the overall planning and supervision of the project activities, ensuring coherence with the project’s objectives, timeline, and donor requirements.
- Develop, review, and update detailed work plans and budgets on an annual, quarterly, and monthly basis, in coordination with the Project Manager.
- Coordinate and supervise the day-to-day implementation of field activities carried out by CEFA staff and implementing partners, guaranteeing consistency, quality, and timely delivery.
- Monitor the progress of activities against approved work plans and budget forecasts, identify any deviations or challenges, and propose corrective actions in consultation with the Project Manager.
- Oversee and coordinate the work of project partners, ensuring their alignment with CEFA’s technical standards, contractual obligations, and reporting requirements.
- Maintain continuous communication with the Project Manager, providing regular technical updates and feedback on project progress, bottlenecks, and lessons learned.
- Prepare and submit Montly activity reports to the Project Manager summarizing implementation progress, achievements, and challenges encountered in the field.
- Participate in the weekly coordination meetings with the Project Manager and field teams to plan upcoming activities, discuss progress, and share best practices.
- Provide fund requests for field activities at the end of each month and ensure that all supporting financial documentation and expense justifications are submitted accurately and on time.
Monitoring and reporting
- Coordinate the monitoring of project activities, ensuring the collection, analysis, and documentation of progress data to measure achievements, challenges, and lessons learnt.
- Prepare regular monitoring reports and analytical briefs summarizing key results, risks, and recommendations for improvement.
- Support the development and updating of monitoring tools and data collection instruments to ensure consistent and accurate reporting.
- Contribute to the preparation of project reports for internal and donor submission, ensuring that all information is evidence-based and supported by relevant documentation.
- Participate in monitoring missions and field visits to assess implementation quality, identify capacity gaps, and support corrective measures when needed.
Technical assistance
- Provide technical guidance and on-the-job coaching to CEFA staff and implementing partners to strengthen their capacity in project management, monitoring, and inclusive practices.
- Contribute to the development and adaptation of project methodologies to ensure that activities are effective, inclusive, and aligned with the strategic objectives of the program.
- Support the elaboration of training modules and technical materials related to the project’s thematic areas.
- Facilitate the exchange of knowledge and lessons learned within the project team and between partners to enhance coordination, innovation, and sustainability.
Synergies and representation
- Maintain appropriate and continuous relations with local authorities, institutional stakeholders, and project partners, representing CEFA in the project areas.
- Ensure close coordination with County Governments, TVETA, and other institutional actors involved in the project implementation.
- Participate in relevant coordination meetings, conferences, and roundtables to strengthen collaboration, visibility, and networking with development actors.
- Ensure synergies among project components, partners, and local communities to maximize the project’s overall impact.
- Collaborate regularly with key stakeholders and local authorities to ensure transparency, coordination, and shared ownership of project activities.
- Perform any other tasks related to the project’s objectives as assigned by the Project Manager.
Requirements
- Minimum of five (5) years of relevant experience in a similar position, preferably within projects focused on education, TVET, professional inclusion, or disability inclusion.
- Bachelor’s degree in Education Sciences, Labour Psychology, Political Science, International Relations, or a related field.
- Strong knowledge of national and international frameworks related to the rights of persons with disabilities and inclusive employment.
- Proven understanding of the TVET and Vocational Training Centre (VTC) systems in Kenya.
- Excellent command of spoken and written English.
- Excellent command of spoken and written Kiswahili.
- Thorough knowledge of the Kenyan context, particularly in the target counties (Nairobi, Makueni, and Murang’a).
- Demonstrated experience in the design or application of inclusive training methodologies for learners with special needs.
- Strong interpersonal and networking skills, with the ability to build and maintain constructive relationships with institutions, government agencies, and key stakeholders.
- Previous experience working on AICS-funded projects will be considered an asset.
- Valid driving licence is mandatory.
