Administrative Assistant at Naro Moru River Lodge

Naro Moru River Lodge is looking for an Administrative Assistant who will be responsible for offering a range of services that are confidential and revolve around office administration, HR administration and clerical support roles.

Primary Duties and responsibilities (includes but not limited to 🙂

Office Administration

Ensure all administrative offices for all departments are well cleaned and organized.
Monitor office supplies and requisition for stocks that are depleted.
Schedule calendars, coordinate and facilitate internal meetings & appointments as directed.
Implement and maintain office procedures/ administrative systems.
Maintain vital company documents and files i.e. permits, licenses, general correspondence etc.
Assist in data entry, minute keeping and filing, report preparations, drafting correspondence and preparation of internal collateral as directed.
Handle all information received with the utmost confidentiality required.
Independently perform all office support work.
Sort and file all related documentation as per Company procedure.
Scan and file documents as directed.
Operate a variety of office equipment such as scanners, printers and computers.
Organize for all courier services (dispatch & receipt) while maintaining records of parcels & mail bag movement.
Sort & dispatch received parcels to respective offices and staff for action.
Any other clerical roles as may be assigned by the Manager.

Human Resource Administration

Maintain and update all employee records and files.
Updating the online staff records on the HRIS system and NEA portal.
Receive and store all unsolicited job applications and assisting HODs with the same on request.
Preparation of trainee onboarding/ off boarding documentation in close liaison with the Unit Manager.
Compile and submit all monthly internal training records for all NMRL staff by liaising with respective HODs and reporting the same to the HR Manager.
Assist with new staff onboarding i.e. documentation and orientation.

Qualifications & Requirements

A minimum of a Diploma in Business /Office administration.
Proven experience as an Administrative Assistant (Minimum of 1 year).
Proficiency in computer applications i.e. MS Office, Google workspace & Zoom Workplace.
Must be able to type a minimum of 50 words per minute accurately.
Ability to handle confidential information with keen attention to detail.
Must be a fast learner and flexible to handle multiple priorities.
Excellent interpersonal skills.
Highly organized skills.
Exceptional time management.
Assertive, self-driven individual, able to work with minimum supervision.
Strong leadership skills.
Must pose high integrity and business ethics.
