System Adoption & Compliance Assistant
The System Adoption & Compliance Assistant is responsible for ensuring that all operational users consistently utilize the company’s system for invoicing, dispatch, stock movement, and related processes. The role monitors daily reports, identifies compliance gaps, engages users directly, and supports training to enhance adoption and accountability.
Key Responsibilities
- Review daily system-generated reports to identify gaps in invoicing, dispatch, and stock movement.
- Track user-level compliance and maintain performance dashboards.
- Proactively contact users to highlight missed entries and guide corrective actions.
- Act as first-line support for basic user queries and provide refresher coaching sessions.
- Escalate persistent non-compliance issues to supervisors and maintain compliance logs.
- Collaborate with the support desk to resolve system gaps and user challenges.
- Provide weekly adoption and compliance summary reports to management.
- Recommend process and reporting improvements to strengthen system use.
Key Deliverables
- Daily compliance call/follow-up logs.
- Weekly adoption & compliance reports.
- Reduced operational gaps in invoicing and dispatch.
- Improved user engagement, accountability, and confidence in system use.
Qualifications & Skills
- Diploma/Degree in Business Administration, Supply Chain, Statistics, or related field.
- Strong interpersonal and communication skills, especially via telephone.
- Working knowledge of ERP/distribution systems.
- Analytical skills to interpret system reports.
- High attention to detail; persuasive, patient, and proactive.
- Experience in customer support, compliance, or operations coordination preferred.
