About this role
The Operations Assistant supports daily office and operational tasks across multiple systems. You will help manage records, assist with reporting, track financial and labor data, and support compliance activities. This role also assists with customer coordination, scheduling, and document control. Accuracy, confidentiality, and consistency are essential.
Key responsibilities
Assist with the use of ERP systems to support efficient operations.
Help document and maintain workflow processes.
Maintain monthly activity logs and backlog records.
Collect and organize data used for business forecasts.
Track revenue accrual and clearance data against margin targets.
Collect labor and expense data for internal review.
Support preparation and tracking of Terms and Conditions and NDAs.
Schedule meetings and distribute follow-up items.
Assist with customer issue tracking and resolution support.
Perform daily administrative and clerical tasks.
Open, close, and update opportunities in CRM systems.
Organize and maintain files within SharePoint.
Support accurate daily and weekly timekeeping submissions.
Assist with travel planning and booking.
Retrieve purchase orders and confirm key commercial details.
Support invoice creation for fixed price and time and material work.
Track invoice status using aging reports.
Assist with vendor and customer setup and documentation checks.
Protect sensitive financial and commercial information.
Support conflict of interest controls and data security.
Handle additional operational tasks as assigned.
Required experience and skills
At least five years of experience in an administrative or office support role.
Strong ability to manage multiple tasks and maintain accurate records.
Clear written and verbal communication skills.
Proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and Teams.
Experience using CRM and ERP systems.
Strong attention to detail and follow-through.
Ability to handle confidential information responsibly.
Education
Bachelor’s degree in business or a related field is preferred.
