About the Role

The Billing and Collections Manager oversees the complete invoicing-to-cash cycle and leads both the Billing and Collections teams. This role ensures billing accuracy, timely payments, compliance with financial controls, and effective communication across internal departments. The ideal candidate is detail-oriented, experienced in SaaS billing models, and skilled at managing complex customer accounts. This position requires strong leadership, the ability to improve processes, and a deep understanding of revenue operations.

Responsibilities

  • Manage, mentor, and develop Billing and Collections team members.
  • Oversee daily billing operations, ensuring timely and accurate invoice generation and distribution.
  • Maintain strong billing policies, procedures, and internal controls.
  • Resolve billing errors and collaborate with Sales, Customer Success, Operations, and Finance teams to prevent repeat issues.
  • Lead the Collections team to drive timely follow-up on overdue accounts and reduce aging balances.
  • Develop and manage collections strategies, workflows, and escalation procedures.
  • Review aging reports, assign collection priorities, and provide guidance on complex accounts.
  • Engage directly with customers to resolve disputes, negotiate payment arrangements, and maintain positive relationships.
  • Validate complex billing scenarios including subscription, milestone-based, usage-based, or project-based invoicing.
  • Maintain audit-ready documentation across all billing and collections activities.
  • Identify operational issues, bottlenecks, and risks while recommending process improvements.
  • Support month-end close activities including reconciliations and revenue recognition processes.
  • Oversee system updates, configuration changes, and data integrity across billing and collections software.

Qualifications

Required:

  • Bachelor’s degree in Accounting, Finance, or a related field.
  • 4–6 years of progressive billing and collections experience, including at least 2 years in a management role.
  • Prior experience leading a billing or collections team.
  • Strong understanding of order-to-cash workflows and internal controls.
  • Advanced communication, analytical, and problem-solving skills.
  • Proficiency with ERP systems and advanced spreadsheet tools.
  • Experience in a SaaS or subscription-based billing environment.
  • Advanced Excel skills including VLOOKUP, Pivot Tables, and complex formulas.
  • Strong conflict resolution and customer escalation skills.

Preferred:

  • Experience with Maxio (SaaSOptics).
  • Experience with NetSuite, Salesforce, QuickBooks, Chargebee, Zuora, or similar platforms.
  • Experience leading or working with distributed teams.
